Security & Emergency Information

Below you will find safety and security recommendations, as well as the Emergency Response Plan for the event. Please take a moment to review and familiarize yourself with this information in advance of the event and share it with any of your staff who will be on-site at the event.

Safety Information

Event Management works diligently with the facility to ensure the safety and security of all sponsors, attendees, and the event. If you have any security concerns leading up to the event or on-site, please bring them to the attention of Event Management.
All persons attending the event must wear a badge. This includes during move-in, event hours, and move-out.
Sponsors are asked to take precautions with items at their 1-to-1 tables. Although the doors of the meeting rooms will be locked at the end of each event day, safeguard personal property and belongings and at the end of each day, pack up and take with you anything of value.
Event Management and Security will "sweep" the rooms at the close of the event each day to clear them of all visitors and personnel. Only sponsor personnel who have requested special permission will be allowed in the 1-to1 room after closing.
Report any missing items or damage to Event Management or Security as soon as noticed.
Notify Event Management or Security immediately if you notice any safety hazards or witness anyone being injured anywhere in the building or nearby outside spaces.
Be aware and be prepared. When you leave the facility at the end of the day, remove your badge and have all emergency numbers saved into your phone. Be aware of your surroundings and take caution, especially in the evenings. Travel in pairs or call a cab.
Lost & Found articles may be turned in or claimed at Registration during event days. After the event contact the hotel’s Security Department.

The purpose of the Smart Energy Decisions Emergency Response Plan is to provide guidelines to prepare for potential crisis or emergency situations. Sponsors should report suspicious activity; contact the The Diplomat Beach Resort Security immediately by dialing ‘28888’ from any house phone or room phone where you will be connected directly to the security department, available 24/7.

The Diplomat Beach Resort Emergency Protocol

Emergency & Security Phone Numbers: The Diplomat Beach Resort provides 24-hour security. On-duty security can be reached by dialing “28888” from any house phone or guest room phone, which will connect you directly to the security department, available 24/7. It is important to stay calm when reporting an incident. Give your name, location and specifics involving the emergency. Stay on the phone until directed to hang up. Paramedic services (EMS) will be on duty in our conference program space during move-in, event hours and move-out. IN THE EVENT OF AN EVACUATION: An evacuation could occur or be ordered due to any number of emergency incidents or a combination of incident types. When a general alarm sounds, evacuation of the facility is required. Additional important information may be provided over the public-address system. Strobe lights will also activate during the emergency announcement. Follow the direction of Security and The Diplomat Event Staff for the evacuation procedures. IN THE EVENT OF AN EVACUATION: 1. Remain in place, unless there is an immediate danger. Listen to audible messaging for further instructions. 2. In case of evacuation, proceed to nearest stairwell and exit on ground level. Follow instructions posted on the inside of guestroom door. 3. Gathering location is at The Diplomat Landing located directly across from the hotel’s main entrance. 4. Critical incident gathering location is at the Hollywood Community Center located at 1301 South Ocean Drive (½ mile North of Hotel, next to Hollywood Fire Department) DO NOT ATTEMPT TO USE ESCALATORS OR ELEVATORS IN THE EVENT OF A FIRE.
